Code of Conduct

This Code of Conduct states the terms and conditions that govern the agreement between the event organisers and the attendees of the Hobbit’s Hoedown LARP, who agree to be bound by this Agreement.
All of The Hobbit’s Hoedown members participating in any activity, including interacting in the online community are obliged to adhere to this policy at all times. By joining The Hobbit’s Hoedown group you agree to abide by this policy. We retain the right to refuse service to those we feel aren’t the right fit for our event and pose a danger to the safe spaces we’ve created.
We do not tolerate harassment of players in any form NOW, THEREFORE, In consideration of the mutual covenants and promises made by the parties hereto, the Event organisers and the attendees (individually, each a “Party” and collectively, the “Parties”) covenant and agree as follows:
Harassment
Harassment includes, but is not limited to, conduct that adversely impacts others because of their:
❖ Gender identity and expression
❖ Sexual orientation
❖ Physical Ability or Disability
❖ Mental or physical health
❖ Physical appearance, including body size
❖ Ethnicity or Cultural Background
❖ Religion
❖ Employment or socio-economic background
❖ Age
❖ Experience or lack of experience LARPing
Harassment can include any behavior, such as (but not limited to):
❖ Verbal comments (Both to the person in question or to others about the person)
❖ Posts on social media
❖ Deliberate Intimidation
❖ Stalking
❖ Unwanted physical or sexual attention/contact
❖ Non-Approved photography
Behaviour will be considered harassment if a reasonable person would know it will make other participants feel unwelcome, embarrassed, demeaned or unsafe.
The Hobbits Hoedown reserves the right to refuse tickets to those they feel fall within this bracket.
The Hobbit’s Hoedown has a blanket ban on the following topics:
❖ Sexual violence
❖ Violence against children
These are not to be discussed OOC* or IC*
If you are being harassed, notice that someone else is being harassed, or have any other concerns, please make your concerns known immediately to the event organisers.
The event organisers reserve the right to act against harassing or exclusionary behaviour witnessed by themselves regardless of whether or not a complaint has been received.

Consequences
All infractions of the policy will be recorded. This information may be shared amongst the event organisers.
If a very serious infraction occurs then the perpetrator may be suspended from The Hobbit’s Hoedown or banned from the event there and then.
1. Verbal warning. The person will be taken aside by an event organiser and the matter will be discussed and recorded.
2. Official warning. The person will be taken out of game by an event organiser and witness to discuss The person's behaviour. This discussion will be recorded.
3. Removal from the event. The person will be asked to leave. The reasons why will be recorded. The person will not be welcome at events run by this organisation team.
Police + Law Enforcement
If the offence is serious enough law enforcement will be called to deal with the issue. This also results in an automatic ban from The Hobbit’s Hoedown
Procedure
Once a report is made to an event organiser, they will take it to a private discussion with the rest of the event organisers. They will collectively identify violations of the Code of Conduct to properly advise the relevant parties of their decision making. The relevant parties will then be informed of the outcomes for the report and any penalties thereof.
Confidentiality
The event organisers shall not disclose to any third party any details regarding the attendee’s business, including, without limitation, any information regarding any of the player’s information, reports and complaints, make copies of any Confidential Information or any content based on the concepts contained within the Confidential Information for personal use or for distribution unless requested to do so by the player, or use Confidential Information other than solely for the benefit of the player.
